How to Run an Event
What is a Performance Troupe? |
A Performance Troupe is classified as a group of artisans who regularly put on full-length shows for various audiences. The members of the troupe typically don’t rotate out, but it is not uncommon for the roster to change as needed for the desired show elements. |
I want to put on a cosplay skit with some friends! Does that count? |
Unfortunately, no. While a one-off skit with friends is an absolute blast, you probably would not be booking venues to perform a short skit in any sort of regular fashion. However, if you do a variety show or a show that harkens back to the days of vaudeville, this would be more relevant to what we are looking for. |
What sorts of shows are you looking for? |
Fantasm is looking for shows that fit within the theme of a horror and haunt convention. In the past, we have played host for troupes of Burlesque, Shadow Casts, Musicians, and even acrobatics! If your troupe puts on an entertaining show, we want to hear from you! |
I am skilled with Fire performance. Can I do something with that? |
At this time, we are not equipped for a fire-centered show. Feel free to submit your ideas, though! If we are interested, we can reach out if the opportunity arose. Orange County, and especially Orlando, have very strict fire code requirements, as well, so it would be prudent to familiarize yourself with those before submitting anything. If you submit for such a show, and we discover that we have the opportunity to add it to our schedule, we will reach out to groups who have submitted fire shows. |
I have always wanted to do a show that is popular at another convention, can I copy it and do my own version at Fantasm? |
At Fantasm, we do not condone copying another convention’s headlining event. |
My troupe puts on a Haunted House every year! Can I submit that? |
Fantasm currently has a Haunted House, and will not be accepting others at this time. |
Can I host an interactive event? |
If your troupe has an interactive show, feel free to submit it for consideration! |
My troupe is known for dinner theatre/maid cafés/bars/events with food/drink. Can I run that? |
Due to Hotel policies concerning food and beverage, we will not be taking on any shows that require the serving of food and/or drinks. If you are capable of performing your event without the serving of refreshments or you are willing to pay for catering, you may submit that. |
Can I charge admission? |
Any additional ticket sales will have to be discussed with Fantasm Staff prior to show approval. |
Are my performers allowed to collect tips? Will Fantasm take a cut of those? |
You are more than welcome to encourage tips for your performers! Unless otherwise stated in contract, any tips you collect will belong to the performers who earn them. |
My show is adults-only. Is that okay? |
Of course! Fantasm is happy to host burlesque shows, or any other sort of show that is a no-kid-zone. These events will happen only in the evenings, so make sure to submit early for approval! 18+ events have precise rules to follow, a very limited schedule, and Fantasm security will assist in checking IDs prior to entry. |
I have a Halloween-themed kids’ show. Is that allowed? |
Of course! Kids love spooky stuff, too! |
Where will my troupe perform at the convention? |
Depending on what your troupe specializes in or requires, you could perform on stages in either our Film Festival or Main Events rooms. |
Is there anything that is not allowed to be in our shows? |
Yes. Performance Troupes are not permitted to use loose glitter, confetti, silly string, paint, or anything else that will make a mess we can’t clean up quickly. Any sort of firearms, pyro, or weaponry are not permitted, as well (although, combat ready weapons for approved fight shows will need to go through a separate approval process). This particular rule is set in stone and is non-negotiable. Schedules allow for set up or tear down, but this time is not unlimited. |
Will we have a place to store props and things over the weekend? |
We do not have space to store anything for shows that are not actively going on. We encourage the use of bins to transport costumes and props between your rooms/cars/homes and the performance space. |

Do our friends and family get into the convention for free to see us perform? |
No. All audience members will have to have at least a single day pass to attend any Fantasm events. Please support Fantasm by purchasing tickets. |
Do VIP attendees get special seating? |
Yes. They get reserved seating up front! |
My family member/friend has a standard pass, but has a disability. Can they sit up front to see me perform better? |
In these circumstances, we want to make sure everyone is enjoying themselves in an accessible way. If you need special accommodations for a show, please contact the convention either prior to the convention or prior to your show to make sure accommodations can be made. |
Oh no! My cast is running late! We don’t have time to stop for our badges. Can we get them after we perform? |
No! All Troupe members must have their Performer Passes prior to entering the show space (in either Film Festival or Main Events) for their call time (which will be approximately 60 minutes prior to showtime, depending on the type of show). If you or your cast are late, your show will either have to be cut shorter or cancelled to prevent other shows from falling behind. Buffers will be included when scheduling, but this time is finite. |

We have music for you to play! How do we get it to you? |
Bring all music on a single flash drive to provide the manager of your show space. On this flash drive, the playlist needs to be in performance order. You will also need to provide a crew member who will be in charge of running sound. We also recommend a backup flash drive with an identical playlist, just in case. We will not be accepting personal computers or cell phones to run sound.
Also, please make sure all music is audience-appropriate! |
Will we have access to lights and special effects? |
At this time, our lighting system is simple, yet efficient. We will also have control over the house lights, so talk to the manager of your show space to set up the desired ambience for your show. |
I have a question that is not listed here! Where can I ask it? |
